This notice explains how Finnbox Post handles information sent through its website contact, partner and work-enquiry forms.

1. Controller and contact

2. Information collected

Contact forms collect name, email address, optional phone number, optional company, topic and message. The work-enquiry form collects name, email address, optional phone number, current city in Finland, driving-licence status, car or bicycle availability, willingness to relocate, residence-permit type and validity, previous similar experience and preferred work location.

3. Purposes and lawful bases

Work-enquiry details are used to assess possible work or assignment opportunities and to communicate with the person who requested consideration. This processing is based on steps requested before entering a possible employment or service relationship (GDPR Article 6(1)(b)). General contact and partner enquiries are handled to respond, maintain business communications and protect legitimate business interests (GDPR Article 6(1)(f)).

4. What not to send

Do not submit identity numbers, residence-permit numbers or copies, passport data, bank or payment details, health information, criminal-record information or attachments. The work-enquiry form asks only for the permit type and how long it remains valid.

5. Recipients, storage and service providers

Work enquiries are delivered to the Finnbox Post work-enquiry mailbox, forms@finnboxpost.fi, and may be accessed only by authorised recruitment or management personnel who need the information for the stated purpose. General and partner enquiries are delivered to the Finnbox Post information mailbox and may be accessed only by authorised management or staff handling the enquiry. Hostinger and Titan provide website and email infrastructure and process data under their applicable contractual terms and safeguards. Finnbox Post does not sell form information.

6. Retention and deletion

Website enquiries are normally kept for no longer than 12 months after the last relevant contact or decision, unless the information becomes part of an active employment, assignment, customer or legal record with a separately applicable retention period. Authorised mailbox users review and delete expired form messages. A valid deletion request is checked against legal obligations and completed without undue delay when no continuing lawful reason requires retention.

7. Your rights

Depending on the circumstances, individuals may ask to access, correct or erase their information, restrict its use, or object to processing based on legitimate interests. Requests can be sent to info@finnboxpost.fi or, for a work enquiry, forms@finnboxpost.fi. Individuals may also lodge a complaint with the Office of the Data Protection Ombudsman in Finland.

8. Security and cookies

The site does not use advertising or analytics cookies. When production forms are enabled, a strictly necessary session cookie is used to protect the form against cross-site request forgery. Form input is validated on the server and protected with anti-spam controls.
